Invoices are ideal to use when the guest pays at the reception or you have just withdrew money from the guest's credit card. You have already received the money and you only need to issue a proof of transaction. If you do not know if the guest will pay you the money, we recommend issuing a deposit invoice.
Creating an invoice when a guest pays you or has withdrawn money through a payment terminal is intuitive. Just click the “Invoicing” button on the bill.
First, a small window for selecting the invoice currency will open. If the currency of the document is the same as the currency of the account, you do not need to fill in anything else. If you want to issue a document for a currency other than the currency, you can still adjust the exchange rate. Siesta will offer you the current exchange rate by default.
Once you confirm the invoice currency, you will see an invoice creation window. Most fields on the invoice need no further explanation. More complicated controls are explained below. However, if the guest pays you by card or cash, you usually only need:
check pre-filled data
set the correct payment type
And then you can save the invoice immediately and you're done!
In the first window we keep the term Invoice. The exchange rate is the invoice exchange rate against the guest's bill currency. The invoice language can also be changed. If you fill in the Date Paid, the invoice is considered to be paid. In the Payment Type field we have several options, for payment types in cash and credit card the button "Save payment" is switched to "Yes" and the payment date will also be filled in automatically. If you select bank transfer payment type, the "Save payment" button will switch to "No" and the payment date will be automatically blank. Create a payment at the same time as an invoice, if the button is in the "Yes" state, the payment will be created together with the invoice in the Payment Table, but if you do not want to create a payment, just switch to "No" and you can add the payment later. Use the Cashier field to select the cashier for the Cashier function.
Using the numerical series, you can enter the numerical series under which the document is assigned to. The "Text before invoice items" field can be used if the guest requires an invoice for the company and the phrase "We invoice you for the guest's stay ..". The black box at the bottom will automatically show all charged items in the guest's bill that do not have a receipt. Clicking on the cross removes the item from the invoice.
Please note, that this feature may not function in specific regions. For further information, please contact your technical advisor.
Once you create a new invoice, you can send it to EET immediately using the “send to EET” button. On the bottom line you may notice that the EET data is still empty. The EET status is also To be sent.
When the invoice is sent to the EET, the “EET status” field changes to “SENT” and the mandatory EET fields are automatically filled in.
If you do not want to send invoices to EET manually, it is possible to set it in Siesta automatic sending of all documents to EET. You can ask your technical advisor to set up automatic invoice sending to EET, or you can set it up yourself, for more information, see the link below:
InvoiceAs we all know, sometimes the reception can be very busy and when you're in a hurry you can easily make a mistake. Invoices can be corrected in Siesta in two ways: 1) By simply editing the invoice via the edit button, 2) Issuing a correction invoice and then creating a new invoice.
The first is much faster and easier. However, not all data can be modified in this way and then a corrective document must be issued. Cases where you need to issue a corrective invoice: 1) You need to adjust the billed items, 2) You need to change the payment type and the invoice has already been sent to the EET, 3) You need to adjust the payment date or taxable supply date.
To edit the invoice, simply display the invoice detail and click on the “Edit” button.
The same screen opens as if you were creating a new invoice. Just edit the necessary data, save your changes and you're done!
The correction invoice is issued again from the invoice detail screen, just click on the “Corrective invoice” button and change the required information.
The corrective document must then be sent to EET! if you have not set up automatic sending to EET. You can now create a new invoice with the correct details.
